Scope and definitions.
This Privacy Policy explains how CodeySpace (“CodeySpace,” “we,” “us,” or “our”) handles personal information when you use codeyspace.com, our Careers website, related application forms and authorized administration areas (together, the “Websites”). “You” means a visitor, business contact, job applicant or authorized user of the Websites.
A separate agreement may govern information we process while delivering services for a client. This policy does not replace the privacy obligations set out in an applicable client agreement.
Business enquiries.
When you contact us about our services, we collect the information you choose to provide, including your first and last name, business email address, message and any company, product or project information included in your enquiry.

- Any other information you voluntarily include in your enquiry
Careers and applicant information.
When you apply for a role through our Careers website, we collect the information needed to receive and assess your application. This may include:
- Your first and last name, email address, phone number and current location
- The role applied for, total experience, notice period and current company
- Your résumé or CV and the employment, education, skills and other information it contains
- Optional LinkedIn, portfolio or GitHub links and an optional cover note
- Your application consent, application reference, submission date and recruitment status
- Communications with you about the application or recruitment process
Please provide only information relevant to your application. Do not include government identifiers, financial credentials, medical information or confidential information belonging to another person or employer unless we specifically request it and there is a lawful reason to provide it.
Technical and administration information.
Our hosting and infrastructure providers may record limited technical and diagnostic information, such as IP address, browser and device details, request times, error information and security logs. We use this information to deliver, protect and troubleshoot the Websites.
Authorized Careers administrators sign in through Firebase Authentication. The administration area may store a session token in the browser's local storage and record account, access and application-management activity needed to operate and secure the recruitment system.
How we use information.
We use personal information only where reasonably necessary for the purpose for which it was collected or another compatible, lawful purpose.

- Communicate with applicants and make recruitment decisions
- Manage authorized Careers administrators and recruitment records
- Operate, secure, maintain and improve the Websites

- Comply with legal obligations and protect our legitimate business interests
Reasons for processing.
Depending on the law that applies, we process information with your consent, to take steps you request before entering into a contract or employment relationship, for our legitimate interests in operating our business and recruiting team members, or to comply with legal obligations. Where we rely on consent, you may withdraw it, although this does not affect processing already carried out lawfully.
Service providers.
Our main website contact form currently submits information through Google Forms. Our Careers website uses Google Firebase services, including Firestore, Storage and Authentication, to receive applications, store résumés, manage recruitment records, authenticate authorized administrators and support application emails. These providers process information on our behalf under their applicable terms and privacy practices.
If you choose to contact us through WhatsApp, your communication is also handled by WhatsApp under its applicable terms. We may use hosting, infrastructure, email and professional service providers that process limited information to provide services to us.
Some providers may process information in countries other than the country where you live. Where required, we take reasonable steps to use providers and arrangements intended to protect that information during such processing.
Retention.
We keep business enquiries for as long as reasonably needed to respond, maintain appropriate business records, resolve disputes and meet legal obligations. If an enquiry becomes a client engagement, the relevant agreement and legal requirements may require a different retention period.
We keep applicant information while an application is active and for a reasonable period afterward for recruitment administration, recordkeeping, dispute handling and legal compliance. Our Careers administration tools support permanent cleanup of rejected applications and associated résumé files after three months. We may keep information longer where required by law, needed to establish or defend legal claims, or where you have agreed that we may consider you for future opportunities.
Administration account and security records may be retained while an account remains active and afterward for a reasonable security, audit or legal period. When information is no longer required, we take reasonable steps to delete or de-identify it.
Security.
We use reasonable technical and organizational measures designed to protect information, including restricted administration access and provider security controls. No internet transmission, storage service or security measure can be guaranteed completely secure.
Please protect any application reference or administrator credentials issued to you and notify us if you believe information submitted to us has been accessed improperly.
Your choices and rights.
Depending on the law that applies to you, you may have rights to request access, correction, deletion, restriction, objection, portability or other action regarding your personal information. You may also withdraw a job application or ask us not to consider it for future roles.
Send a clear request to support@codeyspace.com. We may need to verify your identity, and we may retain information where required or permitted by law. You may also have the right to complain to the privacy or data-protection authority that applies to you.
Children.
The Websites are intended for business users, adult visitors and people legally able to apply for the roles we publish. We do not knowingly request personal information from children through the Websites.
Changes to this policy.
We may update this policy as our Websites, recruitment process, service providers or legal obligations change. The current version will remain available on this page with its latest revision date.
